The Colonial Club in Sun Prairie is seeking its next Executive Director.  Job Description    

Position: Executive Director

Reports to: Board of Directors

Job Status: Exempt

Summary: Reporting to the Board of Directors, the Executive Director is the primary advocate for advancing the Mission and Vision of the Colonial Club. The Executive Director is responsible for the overall leadership, operational and fundraising activities of this highly visible community organization that provides services to older adults.  Qualified candidates should be highly-focused, mission driven, creative, visionary, charismatic and articulate.  They will demonstrate honesty, humility, transparency and respect when interacting with staff, volunteers & older adults.

Key Responsibilities:

Develop, implement and maintain organized management and administrative functions throughout the organization:

  • Establish and maintain clear lines of responsibility and accountability

  • Supervise & collaborate with Directors of Services & Operations, Director of Support Programs and Activities, and Accounting Clerk.

  • Revise and maintain administrative policies in accordance with Board of Director guidance

  • Create, implement and maintain internal controls to protect finance and human resources

  • Provide leadership to strategic planning process and overall agency vision in conjunction with Board of Directors, Staff and Volunteers

  • Review, update and produce agency personnel handbook

  • Provide monthly agency update for Board of Directors

  • Review and approve all agency contracts

With Numbers4Nonprofits, oversee agency fiscal management

  • In collaboration with management staff and N4N, develop, manage and monitor annual budget

  • Maintain positive cash flow and positive bottom line within specified parameters

  • Engage audit firm to conduct annual audit as required by nonprofit standards

  • With appropriate committees and staff members, establish and meet annual fundraising goals

  • Responsible for leading and delegating as appropriate, all special event fundraising 

  • Work with investment manager and finance committee to ensure investment funds are properly maintained per established guidelines

  • Continually seek additional revenue sources that support operating budget

  • Develop and produce annual budget requests for Towns, Villages and Cities committee

Serve as organization’s community representative to maintain Colonial Club’s profile throughout Northeast Dane County

  • Represent the Colonial Club by maintaining membership and being an active member of Sun Prairie Rotary Club, Sun Prairie Chamber of Commerce and other organizations as time permits

  • Establish and maintain positive working relationships with municipal representatives of area towns, villages and cities that support the Colonial Club

  • Serve on Area Agency on Aging Committees as appropriate; lead representative to Focal Points group; maintain membership with Wisconsin Association of Senior Centers and other organizations as deemed appropriate

Provide lead responsibility on personnel matters

  • Ensure that all hires are done in compliance with all federal, state and municipal status

  • Approve all hires, disciplinary actions and terminations

  • Establish and maintain Affirmative Action/EEO and Civil Rights Compliance plans

  • Establish and maintain employee grievance procedures

  • Develop, review and maintain job descriptions

  • Develop, review and maintain annual work performance reviews

Oversee Colonial Club’s communication efforts

  • Contract with website developer to overhaul and maintain website as deemed necessary

  • Responsible for production of annual report 

  • Responsible for production of Board of Directors annual meeting

  • Represent and promote Colonial Club in positive manner

  • Serve as lead spokesperson to all media inquiries

Reports to Board of Directors

  • Work with Board members in recruiting & retaining new members

  • Assist with board training as requested

  • Keep board members informed of upcoming events, potential challenges and success stories

  • Maintain all responsibilities within guidelines set forth in executive limitations.

Lead and participate in management team and operations meetings, as well as monthly all staff meetings.  

Build effective working relationships with seniors, volunteers, community members and peer


Education and Experience

Bachelor’s degree from an accredited college or university with an undergraduate degree in gerontology, social services, management, education or related field.   Experience in directing the administration of activities and services focused on the needs of older adults and or a nonprofit agency.  Other combinations of training and experience, which resulted in the knowledge, skills and abilities necessary to perform the duties of the position will also be considered.

  • Flexible hours required, exceeding 40 hrs. per week at times
